Job Summary:
The Officer – Administration is responsible for providing administrative, logistical, and operational support to ensure the smooth functioning of the Global Platform Bangladesh office. The role supports office management, event coordination, inventory and asset tracking, safety and security arrangements, and general administrative services. The position operates under the supervision of the Manager – Administration and works in coordination with internal teams to ensure compliance with organizational policies, procedures, and audit requirements.
Key responsibilities include (not limited to):
Event Support (35% Time)
· Support the planning and coordination of national and international trainings, meetings, workshops, and events.
· Maintain calendars for room bookings and event schedules to ensure effective use of space and resources.
· Arrange logistics for events including venue coordination, transport support, catering, printing, audio-visual and security arrangements, as approved.
· Assist in procurement of event-related goods and services in accordance with organizational procedures.
· Support budget preparation and tracking of income and expenditures related to training and events.
· Ensure all required documentation (MRF, RFQ, CS, work orders, invoices) is properly prepared and maintained for audit purposes.
· Preparing invoices and bills for the service receivers; submit invoices to the Finance team for timely payment to the vendors.
Inventory, Store Management and Maintenance (30% Time)
· Maintain inventory of stationeries, housekeeping supplies, and office materials using approved record-keeping systems.
· Support overall maintenance of office premises and ensure timely availability of required supplies.
· Assist in supervising support staff and coordinating duty rosters, as assigned.
· Coordinate venue bookings and administrative arrangements for internal and external users.
· Maintain accurate documentation related to procurement, stock movement, and service delivery in line with policy requirements.
Safety and Security Support (10% Time)
· Provide logistical and administrative support during emergencies or security-related incidents at the office.
· Assist in ensuring safety, security, health, and wellbeing guidelines are followed by staff, participants, and visitors.
· Support check-in and check-out procedures for participants and visitors to maintain a safe working environment.
· Escalate safety or security concerns to the designated focal person or supervisor in a timely manner.
Studio Management (10% Time)
· Provide basic administrative coordination support to the Communications Team for routine functioning of the Podcast Studio, including scheduling assistance and ensuring studio readiness for approved recordings.
· Maintain basic records related to studio assets and usage, including updating the studio asset list and maintaining a studio rent logbook for use by internal and external departments, in accordance with organizational procedures.
· Provide limited operational assistance during recordings, such as basic camera, lighting, and audio setup, and carry out assigned tasks requiring basic familiarity with design and video editing software, as directed.
· Escalate any equipment damage, technical issues, or irregularities to the designated focal person.
Other Administrative Support and Services (10% Time)
· Provide general administrative support to the Manager – Administration and other assigned teams, as required.
· Support assigned administrative tasks in the absence of other admin staff, as directed by the supervisor.
· Coordinate document distribution and external administrative errands through support staff.
· Verify invoices and supporting documents prior to submission to the Finance Department.
· Perform other duties related to administrative support as assigned by the supervisor, within role scope.
Internal and External Coordination (5% Time)
· Maintain liaison with internal departments and selected external organizations for administrative coordination related to GPB operations.
· Support communication and coordination activities that facilitate smooth administrative service delivery.
Relationships
The person holding this position will be directly reportable to the Manager - Administration. S/he may engage and support to the other priorities and support units. S/he retains a close working relationship with relevant project teams for accelerated and effective implementation of projects.
Required Educational Qualification and Experiences
Education
o Graduate or Postgraduate degree, preferably in a relevant field.
Experience
· Experience: Minimum 3 years of experience in administrative or support roles; experience in development or INGO settings preferred.

Minimum Technical Skills
o Proficiency in MS Office applications and web-based administrative systems, including the AAB Administration system.
o Basic understanding of procurement, logistics, inventory management, and safety requirements in an INGO setting.
o Ability to maintain accurate records and documentation in compliance with organizational policies and audit standards.
o Good communication and coordination skills for effective internal and external;
Desirable Technical Skills
o Basic proficiency in design software, including Adobe Illustrator and Adobe Photoshop, to support routine communication and visibility tasks.
o Basic knowledge of video editing tools, such as Adobe Premiere Pro and/or DaVinci Resolve, for limited operational support as assigned.
o Basic understanding of camera operation and studio equipment, including lighting and audio setups, to assist with approved recordings and studio readiness.
o Familiarity with administrative support to media, training, or event-based environments.
